Privacy Policy

This Privacy Policy explains how WeekendBio ("WeekendBio," "we," "us") collects, uses, and shares information in connection with this website and the Accelerated Academic Award Scholarship (the "Scholarship"). By using this website or submitting an application, you agree to the practices described here.

1. Information we collect

Information you give us

When you apply for the Scholarship, we collect:

  • Your full name
  • Your expected graduation year ("Class of")
  • Your email address
  • Your essay
  • Your answers to the certification questions on the application

If you are selected as the winner, we will also ask for a mailing address and may ask for proof of enrollment and age so that we can verify eligibility and deliver the award. If you email us, we receive your email address and the contents of your message.

Information collected automatically

Like most websites, the service that hosts this site may record standard technical information when you visit, such as your IP address, browser type, the pages you view, and the date and time of your visit. This website does not use cookies, analytics tools, advertising trackers, or social media plugins.

2. How we use information

We use the information we collect only to run the Scholarship, including to:

  • Confirm that applicants meet the eligibility requirements
  • Review and score essays
  • Contact the winner, verify eligibility, and deliver the award
  • Respond to questions you send us
  • Detect duplicate or fraudulent applications
  • Comply with legal obligations

We do not use your email address for marketing, and we do not add applicants to any mailing list.

3. How we share information

We do not sell or rent personal information. We share it only as described below.

  • Service providers. Applications are received through a third-party form processing service that handles submissions on our behalf. Service providers may use your information only to provide services to us.
  • Selection committee. Committee members receive each essay and its class year. Names and email addresses are removed before essays are reviewed.
  • The Joseph Coolidge Giving Association. The Association funds the Scholarship. We share the winner's name, class year, and essay with the Association so it can confirm the award. We do not share information about other applicants.
  • Publication, with consent. With the winner's written permission, and a parent or guardian's permission if the winner is under 18, we may publish the winner's name, class year, and essay on this website. We will not publish anything about applicants who are not selected.
  • Legal requirements. We may disclose information if required by law, or to protect the rights and safety of WeekendBio, applicants, or others.

4. How long we keep information

We keep application records for twelve months after the winner of the application cycle is announced, and then delete them. We keep records about the winner for as long as reasonably necessary to document the award and meet any legal obligations.

5. Children's privacy

Applicants must be at least 13 years old. We do not knowingly collect personal information from children under 13. If we learn that we have received information from a child under 13, we will delete it. A parent or guardian who believes their child under 13 has submitted an application may contact us to have it removed.

Applicants between 13 and 17 must have permission from a parent or guardian before applying.

6. Your choices

You may ask us to access, correct, or delete the information you submitted, or to withdraw your application, by emailing scholarship@weekendbio.com. Because the essay is final once submitted, we cannot correct or replace an essay, but we can withdraw the application entirely. Depending on where you live, you may have additional rights under state law, and we will honor requests as those laws require.

7. Security

We take reasonable steps to protect the information you submit, including limiting access to people who need it to run the Scholarship. No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security.

8. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the effective date at the top of this page. Material changes will not apply to applications already submitted without the applicant's consent.
